Program Disruptions and Special Situations

What happens when a camp or course starts late, finishes early, or when staff decide a participant isn't suitable. Includes guidance on weather delays for fly-in programs.

If a program starts late or finishes early

If a program is disrupted by something like inclement weather, the ACC will help wherever possible. If costs that have already been paid (for example, hut bookings or food) can be recouped, you'll receive a refund for those amounts.

Weather delays at the start of fly-in programs

For programs where the first day involves a helicopter or airplane flight that's delayed by weather, participants are responsible for their own accommodation and meals during the delay.

Weather delays at the end of programs

If weather causes a delay at the end of a program (for example, you can't fly out as planned), the ACC will provide additional guide support, meals, or lodging at no extra cost.

If the ACC modifies the program itinerary

Sometimes circumstances like road closures, guide illness, low enrolment, or hut closures require the ACC to adapt a program's itinerary. If the changes don't alter the basic nature of the program, refunds are not provided — the trip continues with the modified plan.

If modifications fundamentally change the program experience, the ACC will reach out to discuss your options, including continuing with the modified program or receiving a full refund of your program fee.

If staff feel you're not suited to a program

In rare cases, program staff may decide a participant isn't suitably experienced or qualified for the program. The ACC will:

  • Help you find an alternative program that aligns with your goals
  • Refund the difference if the alternative costs less
  • Ask you to pay the difference if the alternative costs more
  • If no alternative is available, refund your program fee less a $100 administration fee

Why payments are non-refundable

The work of running a program starts the moment you register — guides are hired, meals are planned, accommodation is booked, and admin tasks begin. Many of those costs can't be recovered if you cancel later, which is why most camps and courses are non-refundable inside the cancellation windows.
